How to Record an Acquisition – Visual How To Guide

It’s important to keep track of all the objects that enter your collection, including any acquisition details. The Acquisition (or Auction Acquisition) transaction enables you to record an accurate financial breakdown of your purchase (tax and discounts etc), client contact details and accompanying documentation, like an invoice.

Follow this guide and learn how to record your acquisition information in just a few easy steps.

Record Acquisition details for one object

1. Go to the object you wish to record acquisition details for.

2. Click on the Actions button in the top right hand corner of the page. Then select Acquisition (or Auction Acquisition) from the actions menu panel – which will produce the Add Acquisition window.

3. Fill in the acquisition fields presented, such as: Buyer and Seller Name, Invoice Date, Invoice No., and Price.

4. Save the details by clicking Save and Return or Save and Continue;

  • Save and Return will return you to the object page where the information you have entered will be displayed under Acquisition in the Activities & Financials section if the object page;

  • Save and Continue will take you on to the acquisition page where you can continue to add additional details and documentation.

Record Acquisition details for multiple objects – e.g. a multi-object invoice

1. Go to any object list view.

2. Start scrolling through the object list and select each object you want to add acquisition details to by clicking on the check box on the left hand side of the object row. The check box will turn red once an object has been selected.

3. Click on the Actions button in the top right hand corner of the page. Then select Acquisition (or Auction Acquisition) from the actions menu panel – which will produce the Add Acquisition window.

4. Fill in the acquisition fields presented, such as: Buyer and Seller Name, Invoice Date, Invoice No., and Price.

5. Save the details by clicking Save and Return or Save and Continue;

  • Save and Return will return you to the object list where the information you have entered will be displayed in the Acquisition column;

View all Acquisition Records

A full list of Acquisition (or Auction Acquisitions) can be accessed by clicking on Activities in the left hand menu panel. Once on the Activities page click on the Filter button in the top left hand corner of the page

When the filter options are displayed on the left hand side of the screen, click on Acquisition (or Auction Acquisition).
